The Information We Collect and Why

When you contact or book with Ryde Wellness, we may collect information such as your name, email address, telephone number, age or date of birth, country of residence, emergency contact details, booking and payment information, accommodation preferences and travel or arrival information. We may also collect information about your communication, marketing and photography preferences. We only aim to collect information that we reasonably need to provide our services.

We use this information to manage your booking, take payment, communicate with you and deliver the retreat, coaching session or event you have booked. This may include arranging accommodation, activities, meals and transport where included, sending joining instructions and itinerary updates, and responding to questions before or after your experience. We may also use appropriate feedback and general information to improve future Ryde Wellness experiences.

Health, Allergies and Accessibility

Because some Ryde Wellness experiences include physical activities, food and travel, we may ask you to provide information about relevant allergies, dietary requirements, accessibility needs, injuries or health circumstances that could affect your participation.

Health information receives additional protection under UK data protection law. We will only ask for information that is genuinely relevant to your experience or safety, and we do not need your complete medical history. Where we rely on your explicit consent to process this information, you can withdraw that consent by contacting us.

Emergency Contacts

Before attending a retreat, we may ask you to provide the name and contact details of someone we can contact in an emergency. This information will only be used where reasonably necessary, such as in an emergency or serious welfare situation. Please ensure the person you nominate knows that you have provided their details to us for this purpose.

Payments and Third Parties

Payments made through the Ryde Wellness website may be processed by third-party payment providers, including Wix Payments and other payment methods available through our website. These providers may collect information required to process your transaction, and Ryde Wellness does not necessarily receive or store your complete debit or credit card details.

We do not sell your personal information. However, delivering a retreat may require us to share limited information with trusted third parties such as accommodation providers, activity instructors, transport providers, restaurants, caterers and other suppliers involved in your experience. For example, if you tell us about a serious food allergy, we may need to provide that information to the venue preparing your meals. We will only share information that is reasonably necessary.

International Retreats

Ryde Wellness offers international experiences, including retreats in Tuscany, Italy. This may mean relevant personal information needs to be shared with suppliers outside the UK in order to provide your booking. Where information is transferred internationally, we will take appropriate steps to ensure it is handled in accordance with applicable data protection requirements.

Photography, Video and Marketing

We may take photographs and video during Ryde Wellness events and retreats to capture the experience and, where appropriate, for use on our website, social media or other promotional material. You will have the opportunity to tell us whether you are comfortable appearing in promotional content, and agreeing to promotional photography will not be a condition of attending a retreat.

We may also invite you to receive news about future Ryde Wellness retreats, events and experiences. Where required, we will ask for your permission separately and will not simply assume you want marketing because you have made a booking. You can unsubscribe from marketing communications at any time.

How We Protect and Keep Your Information

We take reasonable steps to protect your personal information from unauthorised access, loss, misuse, alteration or disclosure. We will not keep your information for longer than reasonably necessary, although different information may need to be retained for different periods because of contractual, legal, insurance or other legitimate requirements.

Particularly sensitive information collected specifically for a retreat, such as relevant health information, will be reviewed and deleted or anonymised when we no longer reasonably need it.
